XVAcademy Membership Terms and Conditions

By signing up for an XVAcademy membership, you agree to the following Terms & Conditions.

1. Membership

XVA Memberships provide access to eligible football training sessions at XVArena and other designated venues, subject to availability and the player's age group.

Memberships are personal to the registered player and cannot be transferred to another person.

Memberships are available only to players who meet the relevant age requirements for the membership selected.

2. Membership Fees

Membership fees are charged monthly at the rate applicable to the membership selected at the time of joining.

Current membership prices are displayed on the XVA website and/or membership app.

Membership fees must be paid in full and on time. XVA reserves the right to suspend access to sessions where membership payments are overdue.

3. Session Access & Bookings

Members must book their sessions through the XVA app.

Membership does not guarantee a place in every session. Places may be limited and are subject to availability.

Members may only attend sessions appropriate to their age group and/or membership.

XVA reserves the right to change session times, locations, coaches or session availability where reasonably necessary.

4. Cancellations & Missed Sessions

If a member is unable to attend a booked session, parents/guardians should cancel the booking through the app as soon as possible.

Missed sessions do not normally qualify for a refund, credit or replacement session.

XVA may introduce cancellation or no-show policies from time to time and these will be communicated to members.

5. Membership Cancellation/Pausing

Membership cancellation and pausing is to be done by email: info@xvacademy.ie - Membership cancellations kick in from the end of the month when the email was sent.

Membership fees already paid are generally non-refundable unless otherwise required by law or agreed by XVA.

6. Changes to Memberships

XVA reserves the right to amend membership prices, session schedules, venues, membership benefits or these Terms & Conditions.

Where a significant change affects an existing member, XVA will provide reasonable notice where appropriate.

7. Venue & Session Changes

Training sessions may occasionally be moved, cancelled or rescheduled due to venue availability, weather, operational requirements, coach availability or other circumstances outside XVA's reasonable control.

Where possible, XVA will provide notice of any changes through the booking system, app, email or other appropriate communication channel.

8. Player Conduct

Players are expected to behave respectfully towards coaches, staff, other players and members of the public.

XVA does not tolerate bullying, abusive behaviour, discrimination, violence or deliberate damage to property.

XVA reserves the right to suspend or terminate a membership where a player's behaviour is considered seriously inappropriate or presents a risk to other participants or staff.

9. Parent/Guardian Responsibility

For players under 18, the parent or legal guardian is responsible for providing accurate registration and emergency contact information.

Parents/guardians should ensure that players arrive on time, are appropriately dressed and have any necessary equipment for training.

Parents/guardians should inform XVA of any relevant medical, physical or other information that may affect a player's safe participation in training.

10. Health & Safety

Players should only participate in training when they are fit and well enough to do so.

Parents/guardians must notify XVA of any relevant injury, illness, medical condition, allergy or other circumstance that may affect participation.

XVA will take reasonable steps to provide a safe training environment, but participation in football and physical activity carries inherent risks.

11. Photography & Video

From time to time, XVA may take photographs or videos during sessions, events or activities for promotional, social media or marketing purposes.

Any photography/video consent will be managed in accordance with XVA's applicable consent and privacy procedures.

12. Personal Information

XVA will collect and process personal information required to administer memberships, bookings, payments, communication and the delivery of services.

Personal information will be handled in accordance with XVA's Privacy Policy and applicable data protection legislation.

13. Liability

XVA will take reasonable care in providing its services and maintaining a safe training environment.

To the extent permitted by law, XVA is not responsible for loss or damage to personal belongings brought to training.

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.

14. Membership Termination

XVA may suspend or terminate a membership where:

 - Membership fees remain unpaid;

- A member repeatedly breaches these Terms & Conditions;

-A player engages in serious or inappropriate behaviour;

- Information provided during registration is materially inaccurate; or

-Termination is otherwise reasonably necessary for the safety or operation of XVA.

- Where appropriate, XVA will communicate the reason for suspension or termination.

15. Free Trials & Promotions

Any free trial, introductory offer or promotional membership is subject to the specific terms communicated at the time of the offer.

XVA reserves the right to withdraw or amend promotional offers where permitted by law.

16. General

These Terms & Conditions should be read together with any applicable XVA booking, privacy, safeguarding or other policies.

If any part of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply.

These Terms & Conditions are governed by the laws applicable in Ireland.
